Position Summary:

Manages and performs both clinical and administrative functions for all cancer conferences; position also manages patient housing program for cancer and other patients traveling long distances for treatment at Covenant Health Cancer Centere and other Covenant Health facilities.

Responsibilities

  • Manages, prepares and maintains patient charts for all conferences to include all relative medical records, correspondence, laboratory and radiology reports; track and request patient records, slides and films.
  • Communicates directly with internal and external physicians to facilitate appropriate conference discussions for patient management.
  • Manages coordination of care between various healthcare providers and facilities to ensure cohesive conference discussion of treatment management issues.
  • Coordinates appointments, scans and tests; confirm appointments; and notify appropriate departments, in writing, of daily and weekly patient schedules.
  • Manages logistics of all cancer conferences, including set up of appropriate A/V equipment, troubleshooting, and operation of equipment during conference activities.
  • Manages completion and accuracy of conflict of interest and disclosure forms for conferences.
  • Manages, with other department staff, CME activities and ensure requirements are met for conferences.
  • Analyzes and prepare monthly statistical data for conferences and reports to conference program director.
  • Ensures accuracy and completeness of conference charts, conference case forms, and agendas.
  • Evaluates and report all required cancer conference elements annually to the cancer committee.
  • Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.
  • Attends meetings as required and participate on committees as directed. Attend and serve on professional/civic service organizations as hospital representative.
  • Manages housing assistance program for indigent patients traveling from 30+ miles away for care at Thompson and, as appropriate, other Covenant Health facilities. Develop annual program budget and monitor monthly for accuracy, documenting and reporting any variances.
  • Provides clear and accurate communication regarding housing needs with patients, family/caregivers, clinicians and physician offices, providing excellent customer care to patients/families in need.
  • Manages relationships with area hotels for patient housing, including securing negotiated rates, direct billing, and reservations.
  • Coordinates charitable donations from patients/families benefitting from housing assistance, including regular communication with Office of Philanthropy staff to account for contributions and access donated funds in support of housing program.
  • Monitors, collect and report statistical data re: housing program usage, costs, referral patterns, etc. for Thompson and Philanthropy leadership.\
  • Time spent between Cancer Conference and Patient Housing will be 85% and 15% respectively.
  • Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested.
  • Perform other related duties as assigned or requested.

Qualifications

Minimum Education:          

None specified; will accept any combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill and ability needed to perform the essential tasks of the job, typically such as would be equivalent to an Associate’s degree. Preference may be given to individuals possessing a Bachelor’s degree in a directly-related field from an accredited college or university.

 

Minimum Experience:         

Five (5) years healthcare experience. Preference may be given to individuals with more healthcare experience and oncology experience.
