Administrative Assistant, Nursing Administration

Position Summary:

Performs administrative duties for assigned department(s). Does work of a confidential nature and relieves manager(s) of designated administrative details. Prepares correspondence, memoranda, reports, etc., utilizing advanced PC software skills. Must exercise initiative, judgment and knowledge of company practices, policies and organization.

Responsibilities

  • Types, edits and proofs correspondence, committee minutes, manuals, letters, forms, procedures, and/or other general typing as directed, initiating other documents and correspondence as appropriate.
  • Maintains files and appropriate records, and ensures confidentiality of same.
  • Opens and screens incoming mail. Locates and attaches appropriate file to correspondence to be answered. Prepares outgoing mail.
  • Helps to coordinate meetings and organizes agenda materials.
  • Prepares routine and customized timekeeping reports, safeguarding confidentiality.
  • Receives and screens telephone calls and may respond to moderately complex inquiries. Takes messages and/or redirects callers.
  • Prepares routine and customized reports, safeguarding confidentiality.
  • Maintains and may order office supplies as necessary.
  • Assists in the preparation of presentations using the appropriate software packages. Receives and summarizes the related data.
  • May assist supervisors with department timekeeping function.
  • May assist with Payroll and Scheduling Office functions as needed.
  • Remains mentally alert and maintains concentration with attention to detail for prolonged periods, at times under stress. Maintains adaptability, flexibility, initiative, persistence, and efficiency of time management and action.
  • Does not pose a direct threat to health or safety of self or others. Provides safe, efficient, competent care to population assigned. Meets MMC Environment of Care Standards.
  • Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested.
  • Performs other duties as assigned.

Qualifications

Minimum Education:          

None specified; will accept any combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill and ability needed to perform the essential tasks of the job, typically such as would be equivalent to a high school diploma or GED. Preference may be given to individuals possessing a HS diploma or GED.

 

Minimum Experience:         

Three (3) years clerical/administrative experience.
