Event and Community Outreach Coordinator, Marketing

Full Time, 80 Hours Per Pay Period, Day Shift

Position Summary:

The Event and Community Outreach Coordinator is responsible for the planning, coordination, and successful execution of signature events and community initiatives that elevate Covenant Health’s presence and support its mission. This role serves as the lead point of contact for high-profile organizational events including the President’s Excellence Awards, Covenant Health Knoxville Marathon, Covenant Health Park community activations, board retreats, and other key system-wide engagements. The coordinator works collaboratively across departments and with external partners to deliver well-organized, mission-driven experiences that reflect Covenant Health’s values and brand.

Responsibilities

  • Lead planning and logistics for large-scale internal and community-facing events.
  • Coordinate event timelines, vendor communications, venue logistics, run-of-show, setup/teardown, and staffing needs.
  • Collaborate with marketing, philanthropy, operations, and leadership teams to align event objectives and communication strategies.
  • Ensure all event materials and collateral adhere to brand guidelines.
  • Oversee RSVP and registration processes, including digital tools and tracking platforms.
  • Support onsite event management including venue setup, staff coordination, and real-time troubleshooting.
  • Build and maintain positive relationships with community partners, vendors, city officials, and internal stakeholders.
  • Track expenses and work within defined event budgets.
  • Assist with developing promotional content or coordinating communication support for events, in partnership with the communications team.
  • Provide support for other organizational or departmental events as needed.
  • Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested.
  • Performs other duties as assigned.

Qualifications

Minimum Education:           

Bachelor’s degree in Communications, Marketing, Public Relations, Hospitality, or related field preferred.

 

Minimum Experience:         

Minimum 3 years of experience in event planning, community engagement, or related field.
