Unit Secretary - Adult Unit

Full Time, 72 Hours Per Pay Period, Day Shift


Unit B is an 87-bed unit, divided into two separate “Tracks.” Track 1 is a 44-bed area that cares primarily for adult patients with mood disorders and/or chemical dependency issues. Track 2 is a 43-bed area that cares primarily for adult patients with thought disorders and/or chemical dependency issues. Unit B is a busy and exciting area to work where you will be exposed to patients dealing with a wide variety of psychiatric conditions. Staff may also work on other units in the hospital, offering the opportunity to work with many different types of patients. The care team consists of physicians, therapists, discharge planners, registered nurses, psychiatric technicians, and others who work together to develop a comprehensive treatment outline and care plan. We have a great team on the unit who all work together to provide excellent care for our patients in a safe, therapeutic environment.This unit creates a 6-week schedule which is released two weeks before the schedule starts.  Staff preferences are considered and may be accommodated when they align with the overall staffing needs of the unit and facility.



Position Summary: Assists Nursing and Clinical Staff by performing secretarial and unit management duties.  Maintains patient records, keeping them and their filing current and in good presentation. 


  • Reviews all doctors’ order within 1 hour and accurately transcribes physicians’ orders to Kardex and other documents to ensure that orders are carried out, e.g. logs, requisitions, consult requests, facsimile or other communications to Pharmacy.
  • Answers telephone calls for the unit secretary’s desk and nurses’ phones as needed.
  • Always accurately communicates unit and patient information to nurses and other staff;
  • Stocks clerical supplies and forms for the nursing unit and informs supervisor of supplies needed.
  • Maintains accurate telephone directories for staff and service organizations employed in the completion of the unit secretary’s tasks.
  • Prints and distributes lab reports, Psych Assessments, and History and Physicals in a timely manner.
  • Assists with the medical record filing and chart maintenance when transcription is completed.
  • Applies patient label (with account #, medical record #, etc.) to chart documents and prints face sheets for new admissions (on the day of admission) and places on charts.
  • Assures correct patient information on charts throughout hospital stay.
  • Performs other duties that are necessary for proper performance of the job, as determined by training and experience.
  • Responsible for communication through email. Assesses StarClin to enter patient information into the computer in order to admit a patient and/or request a lab or x-ray, and notify appropriate persons of the request as needed.  Must write information in appropriate logbooks as required. 
  • Responsible for placing the appropriate color flags and dots on physician’s orders to identify orders that require a signature, and assist physicians in locating orders to be signed.
  • Responsible for removing signed care plans from the chart and filing in the appropriate Treatment Team book.




Minimum Education: None specified; will accept any combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill and ability needed to perform the essential tasks of the job, typically such as would be equivalent to a high school diploma or GED.  Preference may be given to individuals possessing a HS diploma or GED.


Minimum Experience: Prior healthcare experience preferred. Completion of Health Unit Coordinator Curriculum within two weeks of hire required. CPOE training and on-the-job training with an experienced HUC preferred.
